Planning Refreshments for a Coworking Space With Members and Day Guests

Decide what membership includes

A coworking kitchen may serve monthly members, day pass users, meeting room guests, and event attendees. Those groups do not always have the same expectations about what is included.

Before adding coworking space vending, decide which refreshments are complimentary and which require payment. Free coffee can sit alongside individually purchased snacks, provided the distinction is clear.

Avoid placing paid products in a display that looks like a complimentary hospitality station. Simple signage and visible prices help prevent awkward conversations for community managers.

Choose a shared access point

Consider who can reach the equipment throughout the day. A kitchen inside a members only area may be convenient for regular users but unavailable to meeting room guests.

Discuss access with your provider before choosing the final location. Include evening access rules, event hours, and any doors that require credentials.

Separate everyday service from event orders

A stocked machine is not an unlimited supply for a workshop or networking event. If an organizer plans to provide refreshments for a group, arrange that separately.

This gives the operator a chance to plan inventory and prevents an event from emptying the regular member offering. It also keeps billing clear.

Keep management simple

Assign one community team contact for service questions and product suggestions. Let users report purchase issues directly to the provider through a visible support channel.

Review the setup after it has served both ordinary workdays and busier events. Are guests finding it? Are the paid and complimentary options clear? Do members want more drinks or more snacks?

MetroWest Vending can help coworking teams across Central and Eastern Massachusetts explore a refreshment setup that fits their space, access rules, and daily routines.
